Privacy Policy

ClearProp is operated by ESARC Technologies Inc. (“ClearProp”, “we”). This policy explains what we collect in the ClearProp app and website, why, who processes it for us, how long we keep it, and how to exercise your rights.
1. Information we collect
In short: we collect the data the app needs and creates as you use it, which is your account, your location and flight tracks, your flight records, how you use the app, and device and crash details. The details are below.
Account. Your email address, name, and sign-in method (email and password, Google, or Apple). If you use Sign in with Apple and hide your email, we only receive Apple’s relay address. We also store the aviation authority, pilot level and starting hours you enter.
Flight and planning data. Aircraft, saved routes, airport plans, procedure drafts, documents you upload, logbook entries, and community routes you choose to publish.
Photos you choose. When you take or pick a photo of a chart, procedure or POH page for AI assist, we send it to our AI provider to read it. Procedure photos are stored with the draft; POH photos are read and not stored. The app never accesses your camera or photos unless you choose to.
Plan and purchases. Your plan (Free or Pro), trial dates and subscription status. Pro is bought on our website; the payment provider handles your card details and we do not receive them.
Location, GPS and track data. The app uses your device location only while it is open, to show your position on the map, find nearby airports and run a navigation session. ClearProp does not track your location in the background. During a navigation session the app records a GPS track (position, altitude, ground speed and time). The track is stored on your device and, when you are signed in, uploaded to your account so it can prefill your logbook and flight history. The track is private to you. Community routes you publish contain the planned route, not your recorded track.
App usage. How you use the app, such as the features and screens you open, the settings you choose, and the questions you ask AI assist.
Diagnostics. Crash reports and problem reports you send from the app include the app version, device and operating system, your aviation authority and your account ID. We remove location coordinates from these reports before they leave your device.
Beta waitlist. Your email, iOS or Android preference, the time and version of your consent, and where you signed up. You do not need an account to join.
2. How we use your data
- Provide route planning, navigation and logbook features.
- Keep your data in sync across your devices.
- Diagnose crashes and answer support requests.
- Improve ClearProp, including its features, reliability and ease of use.
- Personalise AI assist, such as procedure and preflight help, to you as a pilot.
- Secure the service and prevent abuse.
- Send service messages, such as password resets and important policy changes, and beta-access email if you joined the waitlist.
AI personalisation. AI assist uses your own aircraft, flights, routes and past use of the app to tailor its answers to you. Your data personalises only your own experience; it is not shown to other pilots.
We never sell your data. We do not sell or rent your personal information to anyone, and we do not use your location or flight data for advertising.
When you create an account, the app asks you to accept our Terms of Service and this policy. We record which version you accepted and when, and ask again if either changes materially.
3. Service providers
These providers process data for us under contract, only to run ClearProp:
- Google Firebase (Authentication): sign-in and account identity. Data may be processed in the United States.
- Google and Apple: only if you choose to sign in with them.
- Cloudflare: hosting of the app’s servers, file and map storage, and network protection. Data may be processed in the United States and other countries.
- Neon: our database, where your account and flight data are stored. Data may be processed in the United States.
- OpenAI and Anthropic: AI assist features, such as reading procedures and answering preflight questions. We send only what a request needs. Data may be processed in the United States.
- Sentry: crash and problem reports, with location removed. Data may be processed in the United States.
- RevenueCat and its payment processor: Pro purchases on our website. They receive your account ID and the details you enter at checkout, including payment details; we receive your plan and subscription status. Data may be processed in the United States.
Some providers store data outside your province or outside Canada. When they do, your information is subject to the laws of that country, and we require contractual protections comparable to those in this policy.
4. Analytics and your choice
We plan to add product analytics (PostHog) to learn which features pilots use. Analytics events will never include location coordinates, GPS tracks or email addresses. You will be able to turn analytics off at any time in the app under Settings, and we will update this policy before analytics is switched on.
5. Retention and deletion
- Account, flight, route and track data: kept while your account is open, and deleted when you delete your account.
- Encrypted backups: a copy remains until the backup expires, after 30 days. We never restore deleted accounts from backups.
- Crash and problem reports: up to 90 days.
- Beta waitlist: until you ask to be removed or the beta ends.
- Records we must keep by law are kept only as long as the law requires.
You can delete your account at any time, in the app under Settings › Delete account, or by following the steps on our account deletion page. Community routes you published are removed. Copies other pilots already saved stay in their accounts without any link to you.
6. Security
Data is encrypted in transit, access is limited to the services and people who need it, and backups are encrypted. No system can guarantee absolute security. If a breach creates a real risk of serious harm, we will notify you and the privacy regulators as the law requires.
7. Your rights (Canada)
Under the Personal Information Protection and Electronic Documents Act (PIPEDA) and, for Quebec residents, the Act respecting the protection of personal information in the private sector as amended by Law 25, you can:
- Access the personal information we hold about you.
- Correct information that is inaccurate or incomplete.
- Withdraw consent, for example by deleting your account.
- Ask us to delete your information.
- Receive your information in a structured, commonly used format (data portability).
Send requests to privacy@clearpropeller.com. We reply within 30 days. If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada or, in Quebec, to the Commission d’accès à l’information.
8. Person in charge of privacy
Our person in charge of the protection of personal information is the Privacy Officer of ESARC Technologies Inc., reachable at privacy@clearpropeller.com.
9. Children
ClearProp is not directed at children under 13, and we do not knowingly collect their personal information.
10. Changes to this policy
We will update the date above when this policy changes and tell you in the app or by email before a material change takes effect.
